About TCT

TCT was founded in 1968 by John and Barbara King along with a host of other generous volunteers.   For many years TCT produced several shows a year at Wells Auditorium.  When the Wells campus closed, TCT moved into rented quarters at the Tehachapi Academy of Performing Arts on Valley Blvd, producing up to 10 shows a year in a space noted for its intimacy.

Having outgrown our space at TAPA, TCT set out to find a new home, while producing shows in a variety of locations, from the Stallion Springs Community Center,  to Mama Hillybean’s Coffee House to Jacobsen Middle School.

Striking a deal to partner with the City of Tehachapi in reconstructing the former BeeKay theatre site at 110 S. Green St., TCT embarked on what has been a massive fundraising campaign for a small organization.  While the City of Tehachapi has combined a National Park Service grant and redevelopment funds to recreate the structure of the building, TCT has undertaken to complete the interior, including carpeting, tile, chandeliers, sconces, murals, all stage lighting and sound equipment, chairs, risers, and draperies.  In exchange for a long-term, rent-free lease, TCT will manage the building on the City’s behalf and assume responsibility for all operating, utility, maintenance and insurance costs.

At long last TCT will have a full-time home, and the City of Tehachapi will have a legitimate theatre open for a wide variety of events.

UPDATE

Since the writing of this atricle, TCT has opened the BEEKAY Theatre and has produced OLIVER!, Catfish Moon and NUTS.

Other performances have included;

Spider Baby, The Musical, Fiddlers Crossing Special, Stephen Sonheims, Putting it Together, Home Buyers Expo, Hummingbirds, Art Exibits, T-POPS, along with live Stand Up Comedy shows.

Comedy Under Construction

This is a story about 3 men in their mid 40’s who have been best friends, oh, for as long as any of them remember.  But there is trouble in this trio of easy going southern men.  And it is up to Curley and his sister Betty so save the life long fellowship they have all shared in.
It has come out the Gordon is dating (in his mind) Betty, and this is really upseting to Frog.
Betty suggests a fishing trip for the 3 men, like they used to do.  They all go and during their time together, they relive the good times, as well as the bad times and realize that nothing can really break up this trio.  Thru joy and pain, Gordon and Frog put asside their problems and become even closer than before.
This play began on Aprin 17, 2009 and will run for 3 weekends.

With the support of YOU, TCT managed to raise over $60,000 to complete the interior of the building, including carpeting, tile, chandeliers, sconces, all stage lighting and sound equipment, chairs, risers, and draperies. In exchange for a long-term, rent-free lease, TCT will manage the building on the City’s behalf and assume responsibility for all operating, utility, maintenance and insurance costs.

At long last TCT has a full-time home, and the City of Tehachapi will have a legitimate theatre open for a wide variety of events.

The BeeKay Theatre opened its doors in December of 2008 and is available for rentals.

TCT’s mission is to serve our culturally diverse community with quality live theatre for adults, teens and children; to provide dynamic personal development opportunities for all ages through productions, classes and workshops; to actively support other performing arts; and to contribute to the health and vibrancy of downtown Tehachapi through the operation of the historic BeeKay Theatre.

BeeKay Theatre - Rental Procedures, Policies and Fees

Applications to request the use of TCT’s BeeKay Theatre can be obtained at the TCT BeeKay Box Office,or may be downloaded from the TCT website at http://www.tctonstage.org/. All Rental Applications should be submitted a minimum of 2 months prior to the requested date(s).To inquire about the availability of rental dates, and to receive pre-approval on (event-type) rentals,please contact TCT’s Box Office/Hotline number at (661) 822-4037, or mail requests and questionsto Tehachapi Community Theatre, 785 Tucker Rd. #G-300, Tehachapi, CA 93561.

AVAILABILITY The primary function of TCT’s BeeKay Theatre is to act as the production and presentation facility for TCT’s theatrical business. It is also a public building and is available for rental use as a part of TCT’s and the City ofTehachapi’s business practices and policies. A Master Calendar is created by TCT on an annual basis in order toschedule and coordinate seasonal performance offerings. As a production facility, there will be times when theAuditorium, Stage, or related facilities, will not be available for rental due to their use by TCT’s current production.Every effort will be made, however, to reasonably accommodate all requests for the rental use of TCT’s BeeKayTheatre by all Rental Groups.

ELIGIBLE RENTERS (Rental Groups) Rental schedule calculations are based upon distinct rental groups, as defined below. The TCT Board of Directorsreserves the right to make the final determination as to a prospective renter¥s grouping.

Group 1: Any Organization with 501 (c) (3) Status.

Group 2: Public Entities, including Government, Schools, Clubs and Community Organizations.

Group 3: Businesses and Business Organizations, including Religious Organizations.

Group 4: Private Party and Commercial Users. Any users not identified in Groups 1-3.

RENTAL PROCEDURES

Confirm availability of requested date(s) with TCT’s Board of Directors. All Rental Requests should besubmitted a minimum of 2 months prior to the requested date(s). Please note that only the principalmembers of the eligible renters groups can reserve dates or sign rental agreement Contracts. The sameperson must reserve the date(s) and sign the Contract.

Schedule and attend a pre-rental advance meeting with TCT¥s Rental Coordinator,during which two copies of the Rental Estimate and Contract Agreement will be drafted.

If not completing the rental process at the time of your meeting with a TCT Rental Coordinator, you mustsign and return BOTH copies of the Contract Agreement, together with all required Proofs and Permits,and remit a deposit in the amount of 25% of the Rental Fees within 10 days of receipt of the RentalEstimate and Contract Agreement. 1Copyright © 2008 Tehachapi Community Theatre. One Complete Copy of the fully executed Contract (with TCT Board Approval) will then be mailed to you.Payment of the deposit and the return of the signed Agreement To Rental Contract Terms form, with TCTBoard of Directors approval, will guarantee your booking.

If requested and approved as a part of the rental agreement, Box Office procedures and information will beprovided, and event information/photos/tickets will be obtained from the renter.

The balance of the rental fee is due 10 business days prior to the first date of the Rental Contracted event.

Proof of non-profit status must be filed prior to the applicant receiving the scheduled non-profit rate.Applicant must provide a copy of their IRS Determination Letter under Internal Revenue Code 501 (c) (3)and related sections as now and hereafter amended.

GENERAL OPERATING POLICIES

The renter will be held responsible for the compliance of these rental policies by all persons participating inor pertaining to the Rental Event. Failure to comply with all rental policies will be sufficient reason to cancelcurrent and future use of the Facilities.

A separate Security Deposit may be required by the TCT Board of Directors.

The Seating Capacity of the Auditorium is up to 130. This includes Audience Risers and Floor Seating.

There is a minimum of two hours per rental day. A Day Rate is available for 5+ hours.

Auditorium/Stage rental rates do not include Staff or Labor charges. Auditorium/Stage rental requireadditional charges for sound/lighting technicians.

Rates are calculated from the time the Facility is opened until it is vacated and all clean-up is complete.

Charges may be waived or adjusted by the TCT Board of Directors.

The intention to serve or prepare food must be included in the application.Food cannot be prepared on site. Catered events will require a cleaning deposit.

• It is not desirable that rental events and City or TCT events should directly compete,i.e. identical or similar events, titles, or themes.

The BeeKay Theatre is a strictly non-smoking Facility.

Illegal drugs are not permitted. Persons under the influence of liquor, regardless of age, and/or illegaldrugs will be denied entrance to and use of the BeeKay Theatre Facilities. The use of drugs, alcohol ortobacco on the BeeKay Theatre property by any member of a rental group will be grounds for theimmediate cancellation of all Rental Privileges.

TCT and Renter agree that TCT hereby reserves the right to control and manage the Facilities and toenforce all necessary and proper rules for the management and operation of the same. The managementof the Facilities and TCT employees shall have free access at all times to all space occupied by the Renter.

The BeeKay Theatre Facility is strictly a “Clean House” for Rental purposes. No construction activities arepermitted on the premises, except for minimal assembly, securing, positioning, and dressing of load-inscenery/sets. At no time will painting, sawing, sanding, or any other “dirty” production activity be allowedat the BeeKay Theatre Facility. All such activities necessary for Renter¥s set and/or decorationconstruction must be completed at another location prior to transportation to the BeeKay Theatre Facility. 2Copyright © 2008 Tehachapi Community Theatre. Cancellations – Must be made by contacting a TCT Board Member or TCT¥s Rental Coordinator andproviding a written notification at least 30 days prior to the event to avoid cancellation charges.Refunds will be made as follows:

• Full Deposit refund 30 days prior to the event with written notification.

• Deposit refund of 75% with 29-21 days notice.

• Deposit refund of 50% with 20-15 days notice.

• No refund for cancellations with 14 days or less notice.

Refundable Deposits – Depending upon intended use, a refundable cleaning/damage deposit may berequired for a rental. The refundable cleaning/damage deposit will be returned if the facility is left in thesame condition as it was received at the beginning of the rental period, and providing there has been nodamage and/or abuse above normal wear.

If TCT or City Property has been damaged or abused by renter or renter¥s patrons, you are responsiblefor reasonable costs to replace, repair or clean such property, in addition to the withholding of therefundable deposit.

The use of the building will be strictly confined to the areas designated or included in the Rental ContractAgreement. Use of any one area does not constitute permission to utilize any other related area unlessspecifically noted on the Rental Contract.

Any form of Gaming or Gambling is strictly prohibited without the proper State and/or Local Agency Permit.

No furniture or equipment shall be used or moved without the express approval and consent of theattending Event Staff.

Equipment shall not be operated by anyone other than the House Staff. The use of special equipmentsuch as stage lighting, curtains, sound equipment, seating risers, etc., shall be permitted only whenoperated by the assigned TCT BeeKay Theatre Event Staff member or other persons authorized by theEvent House Manager or his/her Staff Representative.

No signs, displays, or other materials may be located on, or affixed to, any BeeKay property unlessspecifically noted on the Rental Contract Agreement. Decorations need to have prior Contract approval.

It shall be the responsibility of the organization or individual renting the facility to obtain any and all permitsof approvals necessary from the State and/or Local Agency pertinent to the event, and to provide copiesof those permits and approvals to TCT prior to the Rental Contract being given TCT Board Approval.

Proof of Insurance may be required.Applicants may be required to provide TCT with a certificate of insurance naming the City of Tehachapi andthe Tehachapi Community Theatre as an additional insured in the amount of one million dollars($1,000,000) per Rental Event. (Applies to Groups 1-3 only)

All applicants for the use of the BeeKay Theatre facilities shall hold the City of Tehachapi and theTehachapi Community Theatre free and without harm from any loss or damage, liability, or expense thatmay arise during or be caused in any way by such use or occupancy of the BeeKay Theatre facility. Also, inthe event that property loss or damage is incurred during such use or occupancy of the BeeKay TheatreFacility, the amount of damage shall be determined by TCT¥s Board of Directors and the City of Tehachapiand a bill for the amount of damages will be presented to the organization using or occupying the facilityduring the time the loss or damage was sustained. 3Copyright © 2008 Tehachapi Community Theatre. STAFFING REQUIREMENTS

TCT House Staff will be required for all rentals.The minimum requirement will be one House Manager. Other staffing requirements will be dependentupon the needs of the Rental Event. Events which require the use of the Stage and/or Lighting, Sound,Box Office, Special Seating Set-up, and/or related Labor, will then require additional TCT staff as stated inthe Rental Estimate and Contract Agreement. Equipment of any sort shall not be operated by anyoneother than assigned TCT Event Staff, unless expressly stated in the Rental Agreement.

EQUIPMENT, LABOR, AND UTILITY FEES

TCT Technical Staff will operate any and all event-required house equipment, and will also perform anylabor involved in the set-up, use, and storage of the equipment. This includes the set-up or take-down ofthe Audience Seating Riser System, House Sound and Stage Lighting Instruments, Control Boards,Follow Spots, Stage Curtains, Box Office Equipment, On-Stage Microphone System, House Lighting,Lobby Lighting, and Exterior Building Signage and Lighting. There will be a separate charge for Labor andEquipment as noted in the Rental Estimate and Contract Agreement. There may also be a separatecharge required for the use of the House Utilities such as Air Conditioning and Heating; if those utilitieswould not be normally in use during the Rental Event period, and are required for the Rental Event.

THE BOX OFFICE

Any event selling tickets will require the use of the TCT/BeeKay Box Office.The Box Office, and related equipment, shall not be operated by anyone other than assigned TCT EventStaff, unless expressly stated in the Rental Agreement. One applicant¥s representative or agent will beallowed to partner with a TCT Box Office Supervisor in order to vouchsafe event monies. The Box Office isavailable to vend pre-sale Event Tickets, collect and safekeep Event proceeds, process purchases of atevent tickets and merchandise sales, and to advertise upcoming Rental Events. Rental fees for the use ofthe Box Office reflect only the labor costs needed for TCT Staff to operate the Box Office equipment andperform event-related duties.The intention to use Box Office services, sell tickets, or vend merchandise at an event must be included inthe original rental request application. Ticketed events are subject to a gross ticket sales assessment.

EVENT MERCHANDISE SALES

1. TCT may permit the sales of concessions, books, novelties, tapes, CD¥s, programs, T-Shirts,photographs, and other event-related merchandise by the applicant or their agent in accordance withestablished operating policy. All merchandise sales are subject to a gross sales assessment to TCT.A brief statement certifying the accuracy of gross sales must be signed and submitted by the applicant ortheir agent to the Event House Manager immediately after every event where merchandise is sold.

2. Concessions provision is also available from TCT as a applicant-provided rental element, by request.3. TCT reserves the right to vend merchandise and/or concessions in the event that the applicantchooses to not do so themselves, nor contract for such services, provided that the vending ofmerchandise and/or concessions is appropriate for the event, and the applicant gives their consent.

ADDITIONAL CHARGES

It is the intent of the TCT BeeKay Theatre to provide all Rental Applicants with as accurate and exact aRental Estimate as is possible at the time the Rental Contract is drawn up. It is our business practice toassure that the Event, for which the Application for Rental has been made, happens in the mostconvenient, stress-free, and successful manner. Occassionally, due to unforeseen circumstances,additional charges for services rendered beyond those contained in the contract will need to be retainedout of ticket sales or security deposit. If the amount of those proceeds is insufficient to cover additionalcharges, applicant will be billed with payment due within ten (10) business days. 4Copyright © 2008 Tehachapi Community Theatre.
